The more information you have stored on your Excel files, file the easier they are to find. In Windows you can search for files based on the file’s author or it’s title or by certain keywords associated with that file. You can also search on the document status and comments relating to your work book. Adding this type of Meta Data greatly increases your ease of searching for Excel work books. Here is how to add keywords to your Excel file properties.
You need to navigate to the Document Information Panel.
- File Tab
- Hit info
- Select Poperties drop down tab
- Choose Show Document Panel
Here, in the standards version of the Document panel you will see a number of fields, one of them being KEYWORDS.
Just enter the keywords you want to identify with your Excel files, in my example above I have chosen Sales Data. Easy as that!

What if I need to add multiple keywords – do I separate by commas or just have a string of words?
Barbara says
Yes separate with commas 🙂
Kathy says
How do I then perform the search that will locate these keywords?
Barbara says
Hi Kathy
To search for these keywords you need to go into Windows Explorer, then hit Search and Search Tools depending on the version of Windows you are using. You can then do an advanced search on Other Properties then Tags.
Hope that helps

Barbara

How do I use keywords to search for a document once it is closed?
Barbara says
Kathy
thanks for the question….if you have added keywords to your Excel file properties then simply search for them as you would a filename, so if you are using Windows Explorer, you can use Search Tools – Refine – Other Properties then Tags and type the tag or keywords you want to search for.

Hi, can cells be referenced in, say, Keyword field in the panel? Eg. I may have an Excel data collection sheet for parts and part number is in cell B3 always.
Cheers
